Acceptable use: Paytron

1. Who this is for

Everyone who puts something into Paytron or takes something out of it: a funded group sending an update, a donor sending a message back, and a member of foundation staff approving, exporting or publishing. It sits alongside the terms of use, and breaking it is a breach of them.

Most of it is what you would do anyway. It is written down because the people in a photograph did not choose to be in a piece of software, and somebody has to look after them.

2. Content you share

Do not send, upload or publish anything that:

shows or names a person who has not agreed to appear;
identifies a child, unless the person responsible for that child has agreed and the foundation has approved it;
reveals somebody's health, beliefs, immigration status, criminal record or anything else they would expect to be private, unless they have agreed to that specific update;
gives away a location that would put a person at risk, a refuge and a safe house being the obvious cases;
you do not have the right to share, including someone else's photographs, music or words;
is unlawful, defamatory, harassing, discriminatory, obscene, or would put a person in fear;
overstates what a grant achieved, invents a number, or attributes to a donor something their giving did not fund.

Say what happened, in your own words, about the people who agreed to be in it. That is what the product is for and it is what donors actually want.

3. How safeguarding works here

Every update is screened before anyone outside the foundation sees it. Anything flagged is held automatically, and it can never publish on its own. Releasing a held update takes a named person at the foundation, a recorded reason and their initials.

Nothing you send is published the moment you press send, and you can withdraw an update afterwards. The media comes down and it stops being shown.

4. Using the service

Do not:

share a sign-in link or a grantee link with anyone else, or try to use one that is not yours;
attempt to reach another foundation's data, another donor's feed, or an update you were not shown;
scrape, bulk download or republish data from Paytron, other than exports the product offers you;
probe, scan or test the security of the service without asking us first, or interfere with it for anyone else;
upload anything containing malicious code, or use the service to send unsolicited marketing;
use donor information for anything beyond the foundation's own charitable purposes, or pass it to anyone outside the foundation.

If you find a security problem, tell us at [REPORT A PROBLEM EMAIL] before telling anyone else and give us a reasonable time to fix it. We will not pursue anyone who reports in good faith and does not take or damage data.

5. Reporting something

If you see something on a Paytron page that should not be there, tell the foundation whose page it is, or tell us at [REPORT A PROBLEM EMAIL]. Say where it is (the link is enough) and what is wrong.

Anything raising a safeguarding concern comes down while it is looked at, and we would rather take down something innocent for a day than leave a person exposed. We will tell the foundation, and where a person is at risk we will tell the authorities.

6. What happens if this is broken

Depending on what happened, we may remove the content, withdraw a link, suspend an account, tell the foundation, or end access altogether. Where the law requires it we will tell the police or another authority, and we will keep the records they need.

We will tell you what happened and why, unless the law stops us, and where the problem can be put right we will say what would put it right.

7. Changes, and the law that applies

We update this page as the product and the risks change, and the date at the top says when it last changed. Paytron is operated from England, and this page is governed by the law of England and Wales.

8. Who we are

Paytron is operated by Zero Point One Ventures Ltd, a company registered in England and Wales under company number 17398629. Our registered office is Collingwood Buildings, 38 Collingwood Street, Newcastle Upon Tyne, NE1 1JF. In these pages, "we", "us" and "our" mean Zero Point One Ventures Ltd.

Paytron is sold to UK community foundations. A foundation using it is our customer; its donors, its grantees and its staff are the people who use the product day to day. Where a document says something different applies to each of them, it says so.
